The purpose of the Office of Student Records and Registration is to provide secure, efficient storage of permanent student records and to maintain the integrity of the University Catalog. Students rely on the office for a variety of services including registration, schedule changes, verification of enrollment, maintenance of current address information, graduation audit, grades, official transcripts, and degree plans.

Student Resources

Student Responsiblity

Advisers will make every attempt to give effective guidance to students in academic matters and to refer students to those qualified to help them in other matters, but the final responsibility for meeting all academic requirements for a selected program rests with the student.

Students are expected to familiarize themselves with the academic policies contained in the catalog. Failure to do so does not excuse students from the requirements and regulations described herein.

Major Planning Guides for each school are now online. This includes Arts and Letters, Natural and Social Sciences, Business, and Education. If you are unable to locate a guide for your specific major, please contact your advisor or the Office of Student Records.

Independent Study

Independent Study course covers subject matter that is not currently offered in the university catalog but is of special interest to the student. A syllabus must be acknowledged by both instructor and student. A maximum of 9 hours of directed study and supervised research will be accepted for the graduation requirement. Internships

Internships are graded academic experiences in a chosen career field and are coordinated through academic departments. Career Services provides assistance by helping students network with employers for internship opportunities. Click here for the Internship Packet.

FERPA Guidelines

The Family Educational Rights and Privacy Act of 1974 protects…
  1. The right to inspect and review education records.
  2. The right to seek to amend those records.
  3. The right to limit disclosure of information from the records.
Educational records include:

Any records, in whatever medium (handwritten, computer media, print, e-mail, magnetic tape, film, diskette, microfilm and microfiche, video or audio tape), that are in the possession of any school official.

Texas Wesleyan's unrestricted directory information includes:
  1. Student’s name, address(es) and telephone numbers
  2. Date and place of birth
  3. Participation in officially recognized activities and sports
  4. Dates of attendance
  5. Major field(s) of study
  6. Degrees and awards received
  7. Denominational or religious preference
  8. Most recent previous school attended
  9. Athletic team members: height, weight and position played
What is considered confidential information
  1. Grades
  2. Financial information (includes outstanding balances on accounts)
  3. Academic probation, academic suspension or dismissal information
  4. Records of judicial proceedings
  5. All other records that are not labeled directory information
Parental access to children’s education records

At the postsecondary level, parents have no inherent right to inspect a student’s education records.
The right to inspect is limited solely to the student.

Records may be released only under these circumstances:
  1. Through written consent of the student
  2. In compliance with a subpoena
  3. Parents provide a copy of the most recent Federal Income Tax form showing that the student was claimed as a dependent.
What does this mean to me?
  1. Public posting of grades either by student name, ID number or SS number without the students written permission is a violation of FERPA.
  2. Returning of papers via an “open” distribution system is a violation of FERPA.
  3. Transporting student files from campus for any reason is in violation.
  4. Transmitting student grades via campus e-mail is not recommended.
What information may be included in letters of recommendation?
  1. Written permission of the student is required if any information included in the recommendation is an “education record.” For example, grades and GPA.
