Coordinate activities, administrative functions, and programs, as well as provide support and service, to the graduate counseling programs, disability accommodations, the undergraduate counseling program, and the Glick House Community Counseling Center.

Job Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Assist in developing and implementing program proposals and policies; assist with implementing, marketing, and operating the Glick House Community Counseling Center; create course schedules and advise students on selecting courses; create faculty load reports; report faculty contract requests to the Dean’s secretary; draft letters, memos, emails, and other correspondence; coordinate program activities, such as orientation, registration, graduation receptions, faculty meetings, committee meetings as assigned, annual faculty retreat, etc.; keep accurate minutes from all meetings; maintain financial records, initiate requisitions for the department, and maintain purchasing card for the department; organize accommodations for faculty conferences and guest speakers; maintain program evaluations; perform data reporting; design and maintain forms, newsletters, brochures, certificates and other promotional items; and attend University training as required.

Provide back-up assistance to the Graduate Admission Recruiter; evaluate transcripts for admission and for transfer course requirements; advise prospective students about program and program requirements; assist with creating marketing materials for admission and other department events; maintain websites for all counseling related programs; and coordinate and assist with recruiting and admission events.

Assist with maintaining disability accommodation files and provide disability accommodation information to students upon request.

Create and run organized office systems; provide administrative and clerical support for the Director of the Graduate Counseling Programs, the Director of the Glick House Community Counseling, and the graduate counseling faculty, including: answering phones, checking and taking messages, and providing program information; maintaining an organized work area; processing incoming/outgoing mail -including e-mail and faxes; maintaining records of the faculty office hours; maintaining records of faculty syllabi; maintaining textbook adoption records; composing and typing routine correspondence; copying correspondence or other printed materials; and maintaining office files.

Provide administrative and clerical support for prospective students coordinating interviews for prospective students and sending appropriate correspondence; processing applicant files and entering applicant data into administrative system when the graduate recruiter or his secretary is unable to; performing basic marketing research for recruiting purposes; and providing admission reports as requested.

Provide administrative and clerical support for current students by acting as a liaison between the graduate/undergraduate counseling programs, financial aid, student records, career services, and graduate students; assist in solving any problems students may have regarding registration, financial aid, etc.; maintaining student records; composing, finalizing, and approving degree plans for graduation requirements, ordering and maintaining comprehensive exam materials, and, providing reports as requested.

Provide administrative and clerical support for alumni of the graduate counseling program; coordinate alumni relation activities with graduate counseling alumni; assist alumni with applying for licensure or certification; and maintaining updated contact information on graduate counseling alumni.

Provide registration services for programs, workshops, and CEU courses.

Other duties as assigned by the Director of Counseling.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE
High school diploma or GED required.
Bachelors degree preferred
Previous office experience in higher education preferred.


KNOWLEDGE, SKILLS & ABILITIES
Ability to type 45 wpm.
Knowledge of standard office practices and procedures, including standard filing
procedures.
Proficient use of multi-line phone system and standard office equipment.
Proficiency with an integrated administrative system and current software programs.
Proficiency with standard office equipment.
Ability to follow University and office procedures.
Ability to be discrete in handling confidential matters, while complying with FERPA
regulations.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports, correspondence, and to develop basic procedure manuals. Ability to speak effectively before students and employees.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, & percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk and hear. The employee must regularly lift and/or move up to 50 pounds. Visual acuity, including color vision, is required. Must be able to move about and between campuses freely, including all offices and classroom areas.

The noise level in the work environment is usually moderate. Ability to work evening and weekend hours as required by the demands of the position.
