Project Request Guide

Your department posts news and events and makes updates to the website, but when your goals start to become more advanced, your support needs might rise to the level of a project.

This guide walks you through the process your project goes through in Digital Marketing, and will help you submit and complete your projects efficiently.

Step 1: Intake and Prioritization

To begin a project fill out our online project request form and set up an intake appointment with David DePuma.

During the intake process, we'll ask a few questions about your project:

  • What problem are we solving?
  • Are we the best resource to solve the problem?
  • What need does it fill for the University?
  • Do we have the resources to complete it?
  • What are your needs versus your wants and wishes?
  • How will success be measured?

Answering these questions will help us prioritize your project within our workload. CMS requests that originate in the monthly content contributor meetings will be ranked ahead of other requests.

Step 2: Discovery and Solutions

Once we answer the inital questions, we'll start mapping a plan for your project and addressing marketing goals.

To begin this phase, Digital Marketing will go through a discovery period where the best practices and methods for completing your project are determined.

At this stage, we'll also need you to submit a brief form in ProWorkflow that outlines:

  • Your content
  • Your project goals

After that, we will finalize the requirements for your project as well as a scope that will help us deliver your project within an agreed upon time frame.

Step 3: Development and Production

When discovery is complete, we'll put a plan for completing your project in place. This may include:

  • Project milestones and due dates
  • Audience analysis
  • Clearly identified conversions
  • Design and architecture
  • Search engine optimization
  • Integrated communications options
  • Tracking and reporting

The plan will be reviewed by the Digital Marketing team and presented to you for feedback.

Once any necessary changes to the plan have been made, production will begin.

Step 4: Review and Implementation

When production is finished, Digital Marketing and the Vice President of Marketing and Communications will approve the completed project before presenting it to you for final review.

Prior to launch, your project will be put through a rigorous quality assurance checklist. We will test for:

  • Broken links
  • Properly functioning forms
  • Spelling/grammar/punctuation errors
  • Consistency in messaging and design
  • Other potential user experience issues

When quality assurance is complete, your project will go live.
