Directly responsible for the coordination and management of the daily activities of the Student Records and Registration Office by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

  • Perform receptionist duties for the Office of Student Records and Registration including, but not limited to: greeting visitors; providing information and referrals; answering telephone; ascertaining the nature of calls; taking accurate messages; and, routing calls in a professional manner.
  • Provide clerical support for the Office and to the Registrar and Assistant Registrar including but not limited to: processing incoming/outgoing mail, faxes and e-mail (including mass e-mails to students); composing and typing routine correspondence, as well as official documents for the Registrar's signature; making copies of correspondence or other printed materials; maintaining student and office files; and maintaining and organizing the general supplies for the department.
  • Process Colleague transactions including, but not limited to: registration, adding/dropping classes, entering grades, processing deferments, address changes, grade changes, post transfer credit, and creating and proofreading official documents and forms, and processing budget expenditures in Colleague Financials.
  • Provide training of the Colleague student module functions to new users.
  • Supervise student workers as necessary.
  • Other duties as assigned by the University Registrar.

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED).
  • Two to three years office experience required, preferably within a higher education environment.
  • A minimum of 30 college-level credits preferred.
  • Previous experience utilizing Datatel's Colleague student module strongly desired.


KNOWLEDGE, SKILLS & ABILITIES

  • Proficient use of a multi-line phone system and standard office equipment.
  • Ability to type 50 wpm.
  • Knowledge of standard office practices and procedures, including filing procedures.
  • Ability to schedule and coordinate appointments.
  • Demonstrated proficiency with a desktop computer as well as an integrated computer system. Demonstrated proficiency with current word processing, e-mail and spreadsheet software programs.
  • Ability to be discrete in handling confidential matters, while complying with FERPA & privacy regulations.
  • Ability to work independently in the most efficient manner with minimum supervision.
  • Ability to handle multiple tasks while maintaining a high attention for details.
  • Strong organizational skills to work productively and efficiently in a high traffic office. 
  • Ability to maintain a professional appearance and office atmosphere.
  • Ability to relate well to a diverse group of individuals.
  • Knowledge of and the ability to support and adhere to University and office policies and procedures.
  • Ability to maintain a positive attitude and good judgment under pressure.
  • Ability to provide and demonstrate quality customer service.
  • Ability to work effectively with a wide range of constituencies in a diverse community.
  • Proven interpersonal skills to provide support in a high-profile office with tact and diplomacy.
  • Ability to plan, prioritize tasks and meet deadlines while working on multiple tasks.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to students, employers and other University employees. Pleasant and clearly understandable phone voice.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
